A Note to All Members

Dear Member

We are writing to assure you that the Board is very aware of the frustrations that are being felt across the Membership currently regarding access to the golf course, and we are doing everything we can to address the situation.

The online booking system has been a cause of angst for all of us over the past few weeks. The Board took the decision this week to implement a random draw for all days of the week with the aim of ensuring the website would not malfunction, and all members would have a fair opportunity to access the timesheet. Although the registration and random draw worked very well for the first two nights, it was evident that last night the system failed. 

This system is managed by MiClub, which is used by more than 500 golf clubs across Australia. Avondale has been using the MiClub golf management software for 9 years. 

Our recent technical problems are not related to the Avondale server’s capabilities. We understand that a factor for MiClub’s difficulties may be the sheer volume of golfers currently accessing online booking time sheets across the country, often at similar times. Many clubs, and their Members, are presently experiencing similar frustrations. Avondale staff is in close communication with MiClub to understand what is being done in order to improve their service to our Members. 

We are considering moving our registration and random draw times away from 6pm in the short term as it seems to be a particularly busy time for MiClub web activity, including other clubs’ tee bookings and the publication of daily results which increases traffic. We will notify members should we make this decision to change times.

Multiple simultaneous log-ins from our Members are compounding the issue. If the same member logs on multiple times, this creates additional website traffic which does not increase the chances of getting a game. We have currently closed the mobile App in order to restrict multiple device access. Please only access the website with one device at any one time.

Members are reminded that current measures are designed to comply specifically with the COVID-19 regulations. The use of time sheets, Member playing allocations, competition schedules and gender specific tee times are presently set for the short term. Once government restrictions are relaxed, we will revert to normal procedures as soon as possible. We expect some measures will be announced on Friday and we are working to ensure that transitions are as seamless as possible.
